Heritage Insurance Advisors ("HIA," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, request a quote, communicate with us, or obtain insurance products or services through us. It also serves as our privacy notice under applicable federal and state insurance privacy laws. Additional notices may apply to particular products, services, or circumstances and will be provided when required.

Personal Information We Collect

The personal information we collect depends on your relationship with us and the insurance products or services you request. It may include your name and contact information; identifying and demographic information; information about members of your household; financial and transaction information; and information about your property, vehicles, business, insurance history, coverage, claims, driving history, and other matters relevant to obtaining or servicing insurance. For certain products, it may also include health or medical information and other information considered sensitive under applicable law.

We collect information directly from you through applications, forms, telephone calls, emails, and other communications. We may also receive information from insurance carriers, other insurance professionals, consumer reporting agencies, insurance-support organizations, government agencies, public records, and other sources authorized or permitted by law. If you choose to use a service that provides information about your existing insurance coverage, we receive that information at your direction.

We also collect information about visits to our website and responses to our marketing. This information is collected through cookies and similar technologies and is used to operate the website, understand how it is used, and evaluate and improve our communications and advertising.

How We Use Personal Information

We use personal information to provide insurance services and operate our business, including to:

  • respond to inquiries and quote requests;
  • evaluate insurance needs and eligibility;
  • obtain, compare, place, and service insurance coverage;
  • communicate about quotes, policies, renewals, claims, and related products or services;
  • maintain business, transaction, consent, and compliance records;
  • improve and protect our website, systems, services, and business operations;
  • measure and support our marketing and advertising;
  • prevent fraud, manage risk, and protect legal rights; and
  • comply with legal, regulatory, and contractual obligations.

We may also use personal information for another purpose disclosed at the time of collection or with your direction or consent.

How We Disclose Personal Information

We disclose personal information as reasonably necessary to provide the products and services you request and to conduct our business. In doing so, we may disclose any of the categories of personal information described above, as permitted by law. Depending on the circumstances, recipients may include insurance carriers, underwriters, reinsurers, brokers, wholesalers, insurance-support organizations, claims professionals, consumer reporting agencies, and others involved in quoting, underwriting, placing, administering, or servicing insurance.

We also disclose information to companies that perform services for us, such as providers of business, communications, data, hosting, security, professional, marketing, and advertising services. These companies receive information appropriate to the services they perform and are subject to contractual or legal obligations concerning its use and protection. Information provided for marketing or advertising services may include contact information and information about interactions with our website or communications. We do not provide insurance application details, policy records, claims information, or health information to advertising companies for their own advertising purposes.

We may also disclose information to our attorneys, accountants, auditors, and other professional advisers; to regulators, law enforcement, courts, or other governmental authorities; to protect against fraud or harm and enforce legal rights; in connection with a merger, acquisition, financing, or transfer of all or part of our business; or as otherwise required or permitted by law. We may disclose information to other persons at your direction or with your consent.

HIA does not sell insurance leads. We do not disclose nonpublic personal information about current or former customers to affiliated or nonaffiliated third parties except as described in this Policy or as otherwise permitted by law. Our privacy practices for former customers are the same as those described in this Policy for current customers.

We disclose health information only with your authorization or as otherwise permitted by law in connection with insurance functions such as underwriting, policy placement and servicing, claims administration, fraud prevention, and regulatory compliance.

Cookies and Advertising Choices

Our website uses cookies and similar technologies for site operations, analytics, and advertising. You can review or change your choices at any time through the Privacy Choices link in the website footer. Your selections may be associated with the browser and device you use, so you may need to make them again if you use a different browser or device or clear your browser data.

We process recognized browser-based opt-out signals, including Global Privacy Control, in accordance with applicable law. Depending on where you live, using these tools may allow you to opt out of disclosures or processing for targeted advertising. You may still see advertising after opting out, but it should not be selected using information collected from your activity on our website for that purpose.

Communications Choices

You may unsubscribe from marketing emails by using the link included in the message. You may opt out of marketing text messages by replyingSTOP, and you may ask us not to make marketing calls. Opting out of marketing does not prevent us from communicating with you about a quote or service you requested, an existing policy, a transaction, a security matter, or another non-marketing purpose.

Consent to receive marketing communications is not a condition of purchasing insurance or requesting a quote. If you previously gave consent, you may withdraw it at any time using the methods described above or by contacting us.

Your Privacy Rights

Depending on where you live and the nature of the information, you may have rights to request access to or a copy of personal information we hold about you; request correction or deletion; and opt out of certain disclosures, targeted advertising, or profiling. You may also have the right to appeal a decision concerning a privacy request and to exercise your rights without unlawful discrimination.

These rights are subject to applicable law and may not apply to information governed by federal or state insurance privacy laws or to information we must retain for legal, regulatory, fraud-prevention, transaction, or recordkeeping purposes. We may take reasonable steps to verify your identity and authority before acting on a request.

To submit a privacy request, contact us using the information below and describe the request and the state in which you live. If we deny a request that carries a right of appeal, you may appeal by replying to our decision or contacting us again and stating that you wish to appeal.

Retention

We retain personal information in accordance with our record-retention practices for as long as reasonably necessary to provide insurance services, manage our relationship with you, fulfill the purposes described in this Policy, and meet legal, regulatory, carrier, contractual, fraud-prevention, and dispute-resolution requirements. Retention periods vary based on the nature of the information and the reason it was collected. When information is no longer required, we take reasonable steps to delete it or render it unusable, subject to applicable law and our records-management practices.

Information Security

We maintain administrative, technical, and physical safeguards designed to protect personal information. Access is limited to employees and other authorized persons who need the information for legitimate business purposes. No security measure can guarantee absolute protection, and we cannot warrant the security of information transmitted to or maintained by us.

Other Websites and Services

Our website may link to or make available websites and services operated by others. Their privacy practices are governed by their own notices, and this Policy does not apply to information they collect for their own purposes.

Children’s Privacy

Our website is intended for adults seeking insurance information and services. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the website. If you believe a child has provided personal information to us, please contact us.
